Guidelines for oral presentations and flash posters

The following information is designed to offer guidance to those who will be making a presentation at the Congress.We appreciate that many of these points will already be familiar to you, however we seek your co-operation in reading these guidelines and ask that you act on them.



Invited and abstract oral presentations

If you are presenting in an oral session, either as an invited speaker or short abstract oral, please check your presentation timings in the programme and ensure that your presentation is kept within the allotted time.

  • Abstract short oral presentations have been allocated 15 mins in the programme – 12 minutes for the formal presentation plus 3 minutes for questions.
  • Invited presentations of 30 minutes should prepare a formal presentation of 25 minutes allowing up to 5 minutes for questions.


Flash poster presentations

If you are presenting in a flash poster session you will be allocated a strict 60 second time time limit for your presentation which must be adhered to. To ensure fairness for all flash poster presenters, the session chair will interrupt your presentation if you run over the 60 second time.

You should also prepare one powerpoint slide without animation in 16:9 format (a poster number introduction slide will be displayed before your slide). Instructions for preparing and submitting your powerpoint slide can be found below.

It will not be possible to present the whole poster in one minute. Presenters should concentrate on the research question/aim, a brief summary of the main findings and a conclusion. The audience should want to come and look at the poster to learn more.



Preparing your presentation

We are keen to ensure smooth transition between presenters and wish to avoid presenters using their own laptops at the lectern as this sometimes causes delays between presentations.

  • Only PowerPoint presentations can be accepted. The aspect ratio for all screens is 16:9.
  • Please bring your presentations on a USB memory stick and a back-up copy to the Speaker Preview Room, at least 2 hours before the start of your session. Should you be presenting in a morning session, please check in the Speaker Preview Room the day prior to your presentation.
  • If combining video with PowerPoint, please bring the video as a separate file and ensure that it displays properly in the room where your lecture is taking place, during a coffee or lunch break prior to your session, at least 30 minutes before the start of the session – even after checking it in the Speaker Preview Room.
  • Presentations will be saved and run from a computer in the session room. You will still be in control of moving your slides back and forth.
  • Please note that the Congress computers in the rooms are being supplied with Windows 10 and Office 365.
  • Please meet with your session chair in the main hall (Fleming) in the break preceding your session to familiarise yourself with the technical set up.



Speaker preview room

There will be a Speaker Preview Room at QEII for all presenters to check and upload their presentations. The Speaker Preview Room will be located in the East Room and can be accessed via the main hall and the catering area. Please do not hesitate to visit the Speaker Preview Room or ask one of the AV technicians for assistance should you need it during the conference. Support technicians will also be located in the main hall (Fleming Room)
